4. Our lawful basis
UK data protection law requires us to have a lawful basis for each way we use your information. Ours are set out below.
| What we do | Lawful basis |
|---|---|
| Responding to your enquiry and preparing a quote | Taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries |

5. Who we share it with
We only share your information where we need to. We use trusted service providers who process information on our behalf and under our instructions:
| Provider | Purpose |
|---|---|
| 20i (UK) | Website hosting and content delivery |
| Wordfence (Defiant Inc.) | Website security and firewall, which checks visitors' IP addresses against known threats to block attacks |

| Website analytics (Google Analytics), where you have agreed to it, and the delivery of website fonts (Google Fonts) | |
| Our email provider | Receiving and storing the enquiries and emails you send us |
| Our email marketing platform | Sending marketing emails and managing unsubscribes, where we send them |
If you become a customer, we may also share the details needed to complete your shipment with hauliers, freight agents, customs agents, warehouses and carriers who carry out part of the service.
We may also share information where the law requires it, for example with HMRC or other authorities, or to protect our legal rights.
6. Transfers outside the UK
Some of our providers, including Cloudflare, Google and Wordfence, may process information outside the UK. Where this happens, we make sure appropriate safeguards are in place. These include UK adequacy regulations, the UK International Data Transfer Addendum, or the UK Extension to the EU-US Data Privacy Framework.
Where a shipment involves another country, the details needed to move it will be shared with the agents and authorities in that country.

We keep personal information only for as long as we need it.
| Information | How long we keep it |
|---|---|

| Customer and supplier records | For as long as we work together, then as long as required by law, usually 6 years for tax and accounting records |
| Marketing contact details | Until you unsubscribe, or 2 years after your last contact with us. If you unsubscribe, we keep your email address on a suppression list so we do not contact you again |
| Analytics data | 14 months |
When information is no longer needed, we delete it securely.
